Privacy and Legal Compliance

Why: Ensure your app meets legal requirements and protects your members' data by setting up a privacy policy, terms of service, and cookie consent. This builds trust and keeps your business compliant.

Navigate: App Station > Settings > Legal

Quick Start

  1. Click on Settings in the App Station menu.

  2. Select Legal from the dropdown.

  3. Review and edit your Privacy Policy, Terms of Service, and Cookie Policy as needed.

  4. Enable the Legal Acceptance System to track member acceptance.

  5. Save your changes.


Setting Up Your Legal Documents

Privacy Policy

Your privacy policy outlines how you collect, use, and protect member data. It’s essential for compliance with regulations like GDPR and CCPA.

  1. Navigate to the Legal section in App Station.

  2. Click on the Privacy Policy to edit.

  3. Ensure it includes:

    • What personal data you collect

    • How you use that data

    • How members can request data deletion or access

  4. Save your changes.

Terms of Service

The terms of service define the rules and guidelines for using your app. This document helps protect your business and sets clear expectations for your members.

  1. In the Legal section, select Terms of Service.

  2. Review and update the document to include:

    • User responsibilities

    • Limitations of liability

    • Dispute resolution procedures

  3. Save your changes.

Cookie Policy

A cookie policy explains how your app uses cookies and tracking technologies. This is important for transparency and compliance.

  1. Click on Cookie Policy in the Legal section.

  2. Include details on:

    • Types of cookies used

    • Purpose of cookies

    • How members can manage cookie preferences

  3. Save your changes.

Legal Acceptance Tracking

To ensure compliance, you can track member acceptance of your legal documents.

How It Works

  • First-Time Acceptance: When a new member logs in for the first time, they must accept your legal documents before accessing the app.

  • Update Acceptance: If you update any legal documents, existing members will see a prompt to accept the new terms upon their next login.

  • Grace Period: You can set a grace period (default is 30 days) during which members can accept updated documents without being blocked from accessing the app.

Viewing Legal Documents

Members can view your legal documents at any time by visiting:

  • /legal/terms-of-service

  • /legal/privacy-policy

  • /legal/cookie-policy

  • /legal/acceptable-use-policy

These pages display the current version of each document and are linked from the acceptance prompts.

Important Notes

  • Ensure that your legal documents are clear and comprehensive to protect your business and inform your members.

  • Regularly review and update your policies to reflect any changes in your business practices or legal requirements.

  • Keep track of member acceptances for compliance purposes; this is automatically logged in the system.
